i need some help with finding right document management software

ok freinds, i have various forms of documents (ebooks, thesis, research data, spreadsheets..and media videos in every format imaginable, case discussions coming in whatsapp archived in whatsapp backups and evolution mail backups)
material is spread over 4 hard disk (external 500 gb each) 2 hd (1 tb each) over 100 DVDs (and still counting)
i used to manage using a software called broken cross disk manager (windows), recoll and digikam but now the size has exceeded their capabilities.. all getting hung up
i addition i have personal entertainment stuff like movies too
i want the right method of cataloging all this stuff so that i can find what i need when i need it. I have to prepare classes for farmers etc played around a little bit with moodle etc but in all that keeping resources in an external hard disk proved a difficult task
my laptop right now is dell inspiron, 1 tb dual boot windows 10 and ubuntu 16.04 8gb ram it contains office documents which i backup regularly in a harddisk (in case i dont get time to burn in dvds) some software that will help me know which have been backed up and which is not will be big help because right now i burn to dvd then recreate the whole directory structure in my laptop. and since the dvd indexing is not working that data is almost lost and i have to search manually the dvds
